Text Box:  Dealing with Font Issues

 

One of the most common problems that occur during a document conversion is with fonts.A document may contain fonts that are no longer available and will then be substituted for another font. This can dramatically affect the formatting of the document leading to the document appearing very different than it should. Font substitution can cause a document to paginate differently than it did originally (page breaks occur in different places), because the font metrics (size characteristics) of the two fonts will probably differ. Documents when converted may appear different. Characters may appear larger or smaller, may not look the same as the original document. The paragraph, line, and character spacing may be changed as well causing the document to be less or more in pages than the original. This may be caused by font substitution.

 

This document will take you through how to check for font substitution, determine what’s causing it and how to fix it.

Determine if font substitution is happening

            Check Original document

            Convert document

            Open both original document and newly converted document

Look for parts of the document that have not converted properly

Check to see if the font has changed from the original document at that point

Check various places in the documents and see if the font has been changed from the same place in the converted document

Determine if font substitution is happening

 

Does original font exist?

Font substitution may occur when the original font is no longer available and WordPerfect replaces the font with once that matches it the closest. The font may have been deleted or not added after a computer reinstallation.

When a document is moved from one machine or printer to another, it is important to know what fonts are available in the printer or system. If a font used in the original document is not available on the destination system, either you're out of luck or the font must be included with the file, which will increase the file size tremendously.

How to determine if font exists

Is it currently on the machine?

                        Is it on the computer that the document originated from?

                        Is it a printer font?

                                    In WPWin12, click on the down arrow next to the font name. In that drop-down list, each font has a symbol in front of its name. The printer fonts have an image of a printer next to them; the true type fonts have 'TT'

 

Is the original font a printer font?

 

A printer font is a font installed to the printer memory or font cartridge allowing the printer to print a specific font. It is recommended that these fonts be replaced. If the printer is no longer available then the font will also no longer be available, this will cause font substitution.

 

Font Substitution is set up on either WordPerfect or Word

You can control font substitutions by changing them for specific font attributes, styles, character sets, and print orientations. This is known as font mapping.

You can use font mapping to

 

·           change the printer font settings

·           specify a replacement font when a certain font is not available on the printer

·           change the display font settings

·           display a document in a different font, style, or size than the one used to print it

·           apply a non-Roman alphabet font

 

 

To change document and printer font substitutions

 

 

1          Click Format  Font.

2          Click Settings, and click Edit font mapping.

3          In the Edit printer/document font mapping dialog box, click the Document tab.

4          In the Document font area, choose a font from the Face list box.

5          Choose a size from the Size list box.

6          In the Printer font area, choose a font substitute from the Face list box.

7          Choose a style substitute from the Style list box.

8          Choose a size substitute from the Size list box.

 

Prevent font substitutions when opening a document.       

Click Tools  Settings. Click the Environment icon. Click the General tab. Disable the Reformat documents for the WordPerfect default printer on open checkbox. Click OK.

 

Restore default document font mapping settings  

Click Format  Font. Click Settings  Edit font mapping. Click the Document tab. Enable the Automatic selection check box.

 

 

Fix Font Substitution

Steps to install TrueType® fonts from the Control Panel:

  1. Click on Start | Settings | Control Panel.
  2. Double-click on the Fonts folder.
  3. Click on File | Install New Font to access the Add Fonts dialogue box.
  4. Change to the drive and folder that contains the TTF files on the Corel® WordPerfect® Office CD. This would be: D:\Corel\Fonts\ttf\ where D: is the drive containing the CD.
  5. Fonts are listed alphabetically in folders-one for each letter of the alphabet. Double-click on the appropriate folder to retrieve a list of font names. For example, if you want to install the Balloon font, double-click on the «b» folder.
  6. To select multiple fonts within a folder, hold down the Ctrl key and highlight (single-click) all desired fonts.
  7. Make sure that "Copy Fonts To Fonts Folder" is checked.
  8. Click on the OK button. The fonts are now installed to the Fonts folder. These fonts can then be used in any application using Windows® printer drivers.

To install TrueType Fonts from the WordPerfect® Office  Installation CD:

  1. Insert the WordPerfect® Office CD into the CD-ROM drive. If Auto-Run is not enabled on your CD-ROM drive, you can open the drive from Windows Explorer or My Computer, double-click Setup.exe file, and click WordPerfect® Office Setup.
  2. Click on WordPerfect® Office Setup.
  3. On the WordPerfect® Office Setup screen, check Add New Components | Next.
  4. On the WordPerfect® Office Components screen, click Next (without selecting anything).
  5. On the WordPerfect® Writing tools screen, click Next.
  6. On the WordPerfect® Office Fonts screen, check Display Individual Fonts, and then place a check beside each font you wish to install. Every font is listed in the accompanying «Libraries Catalog» manual.
  7. Click Next
  8. On the WordPerfect® Office Destination Folder screen, click Next | Install. The fonts are now installed to the Fonts folder. These fonts can then be used in any application using Windows® printer drivers.

 

            Copy font from original computer to conversion computer

            Download the required font or similar from the web.  If the downloaded font is identical to the one used in the document then this will work straight away.  However, if they are not identical, you will need to go into the Font Mapping utilities (there's a button on the Font panel in WordPerfect) to ensure that the new font is chosen as opposed to e.g., Arial for example.

Check Font For Corruption

How to tell if a font is corrupt:

WordPerfect Characters display as Empty Boxes

 

If a font corrupts it will no longer work. If WordPerfect detects a corrupt font it will attempt to replace it with a font that closest matches it. When a document is moved from one machine or printer to another, it is important to know what fonts are available in the printer or system. If a font used in the original document is not available on the destination system, either you're out of luck or the font must be included with the file, which will increase the file size tremendously.

 

Fix font corruption

1. Ensure the Recycle Bin on your desktop is not set to remove files immediately on delete.
2. Click Start, Settings, Control Panel, Fonts.
3. Select all WP fonts such as WP MathA and delete them all.
4. Reboot the computer.
5. Double-click the Recycle Bin icon, select all the WP fonts.
6. Click File, Restore.

The WordPerfect characters will now appear correctly.

Check For Document Corruption

How to analyze and repair a corrupt document

 

Run WordPerfect Document Troubleshooter and analyze the document for corruption. If the document is corrupt repair the document

 

Steps:

Start up WordPerfect Document Repair

Click on File|Open

Navigate to suspected document and select it.

Click Open

Document will now appear in File Name List, select the document

Click on Analyze to begin analyzing the document.

If the document reports it is corrupt click the Repair button to begin Repair.

Follow through instructions to complete repair.

 

Document is now repaired

To ensure that document is completely repaired please run Steps 1 through 8 two more times to ensure all corruption is removed from document.

 

Open the newly repaired document and determine if problem still exists.

 

If problem still exists use the X Insert feature

 

X Insert Feature

X Insert Feature refreshes the document header information in the WordPerfect file.

Start up WordPerfect Document Repair

Click on File|Open

Navigate to suspected document and select it.

Click Open

Document will now appear in File Name List, select the document in the list

Click X-Insert button to perform the X – Insert function

The document’s header information is now refreshed, check newly opened WordPerfect file to see if the problem still exists

 

If the problem does not exist save the file and the problem has been resolved

If the problem still remains Try the Block Copy Paste feature

Start up WordPerfect Document Repair

Click on File|Open

Navigate to suspected document and select it.

Click Open

Document will now appear in File Name List, select the document in the list

Click on the Block Copy Paste button

WordPerfect Document corrupt troubleshooter will now move all the contents of the document to a new document. Once the newly refreshed document opens in WordPerfect check for to see if the problem has been resolved.

If the problem has not been resolved you will need to either recreate the document or have someone professionally recover the document
